Guidance for presenters

Please submit oral and poster presentations by 1 September, 2024, earlier if possible.

Submit your oral-presentation video using your preferred method of sharing large files e.g. Google Drive or WeTransfer to Helen Scott

Email your one page pdf poster presentations to Helen.scott@groundedtheoryconference.com If you are also submitting a short video of less than 5 minutes, use your preferred method of sharing large files as above.

Oral presentations

Oral presentations of between 15 – 20 minutes must be pre-recorded and will be followed by a 5 minute question and answer session led by the presenter.

Poster presentations

Poster presentations can take the form of a one page .pdf image and a short video of less than 5 minutes.

Recording Format

  • Please submit mp4 videos. 
  • Ideally the format should be 1080p. Anything lower will lower the quality of the output.

Use whichever software you are most confident using when recording your presentation though we recommend PowerPoint or Keynote. Links to the help pages of a few options are listed here:

Audio

The most important thing is to make sure you can be heard loud and clearly!

  • If you can use an external microphone to the device you are recording on this will make the sound quality much better. Even using a pair of headphones with a microphone built in will improve your audio. 
  • Ensure you are in a quiet room (close windows, doors, turn anything noisy off) 
  • Speak loud – add an extra 10% to your voice, the same you would if you were projecting to the back of the room. 
  • Test – Record a test for a few seconds and listen to it back, can you hear yourself nice and clearly? Just increasing the volume will increase the background noise.

Video

  • If filming with your mobile phone, use landscape rather than portrait orientation.
  • Whatever type of camera you’re using you will want it to be as static as possible – avoid having people hold the camera. Use a tripod or prop it up against some books or boxes if you can. 
  • The camera should be at the same height as your eyes. If you are using a laptop with a webcam, avoid tilting the screen up or down to adjust the viewing angle. Instead, reposition the entire laptop higher or lower (on a stack of books or shelf for example).
  • Position yourself so that your upper torso and head are visible, not too close or too far away from the camera. Most cameras, laptops and phones will let you see yourself when filming to help you set up the frame. Once everything is in position, turn this option off if you can – you’ll likely look at yourself rather than directly into the camera if you don’t.

VIDEO within a presentation – If you have any videos within the presentation, these may not play smoothly during the recording and should be edited into the recording afterwards.
